Stop missing customer calls without hiring more people

A missed call is usually a customer who tried once and called someone else. For a small team the fix is rarely another hire. It is making sure every call can reach anyone who is free, and that the ones nobody caught are visible and called back.

No more single phone

Calls ring the whole team instead of one landline or one person’s mobile.

Callers wait, not hang up

A queue with music and announcements holds callers while someone frees up.

Every miss is visible

Missed calls land on a shared list with a call-back button, and the day’s count sits on the live screen.

Where missed calls come from

Calls ring one phone while its owner is busy. Calls come in after hours with no message. Calls arrive on a manager’s mobile or someone’s WhatsApp, and nobody else knows they happened. Each one is a routing problem, not an effort problem.

  • One phone rings while the free colleague never hears it
  • Callers hit silence or an endless ring when everyone is busy
  • After-hours callers get nothing to tell them when to call back
  • Missed calls live on personal phones and leave with the person

Fix the routing, then make misses visible

First, put the calls on one number that rings whoever is free and holds callers in a queue when nobody is. Then add opening hours, so after-hours callers hear when you are open and can leave a message.

Second, make sure the calls that still get missed are on a list everyone shares, with a button to call back. A manager sees the queue live and can listen, coach or join a call when it matters.

What to know before you start

How do we see which calls we missed?

Unanswered calls show as missed in the call history with a button to call back. The live screen also counts the day’s abandoned calls at the top of each queue.

What happens when nobody answers?

You decide in the call flow: ring another team, keep the caller in a queue with music up to a time limit, send them to voicemail or play a message.

Does this work for a team of three?

Yes. Plans start at three agents, and admins and supervisors don’t count as agents.
