WhatsApp Business: how to take multiple calls at the same time

In the WhatsApp Business app, one number takes one call at a time. While you are on a call, the next customer can’t get through: WhatsApp’s call waiting only lets you end your current call to take the new one. To take multiple WhatsApp calls at the same time, the number has to run on Meta’s WhatsApp Business Platform, where software such as Dialaunch answers each call with an AI agent, routes it to a free agent or queues it with hold music.

One phone, one line

Linked devices add screens, not lines. The number still behaves like a single phone line.

Call waiting is not a queue

You can end one call to take the next, but you can’t hold it or pass it to a colleague.

Many calls, one number

On the Business Platform, one WhatsApp number takes many simultaneous calls.

Why the second caller gets a busy line

The WhatsApp Business app works like personal WhatsApp: the number belongs to one account on one primary phone. That account can be in one call at a time. When a second customer calls during a call, WhatsApp’s call waiting shows the new call and lets you decline it or end your current call to accept it. There is no hold, no merging and no button to send the caller to a colleague who is free.

Linked devices don’t change this. WhatsApp lets you link up to four extra devices to your account, and calls can ring on WhatsApp Web, the desktop app or a tablet. They are still the same account and the same line, so the second caller has nowhere to go.

What happens to the caller

From the customer’s side, the call rings out or is declined. Some try again, some send a message, and many call someone else. At a busy moment, such as lunch, a sale or the end of the day, this can happen to several callers in a row while a colleague sits free in the next room.

How to take several WhatsApp calls at once

To take multiple calls at the same time, the number has to stop living on a phone. On Meta’s WhatsApp Business Platform, calls arrive through the Business Calling API, and software decides where each one goes. Meta’s documentation requires the number to be in use with Cloud API, not the WhatsApp Business app.

Dialaunch connects your number this way and runs it as an AI agent for WhatsApp calls with your team in control. One WhatsApp Business number takes many calls at once, and each call is answered by the AI agent, routed to the next free agent, queued with your hold music, or handled by the step you configured.

  • AI agent: answers every call in the caller’s language, confirms orders, books appointments and hands to a person when needed
  • Routing: rings the agents who are free, all at once or in turn
  • Queues: callers hear your hold music and announcements, with a time limit and a fallback
  • Keypad menus: send sales, support or bookings to the right team
  • Opening hours, voicemail and fallbacks for everything else

Where your team answers

Calls ring on the phone your team already uses: their own WhatsApp, a SIP desk phone or softphone, or the browser with a headset. Nobody has to share one phone, and there is no extra app to install. Supervisors can listen live, whisper, take over in one click and hand a call back to the AI.

Before you move the number

Once a number is connected to Dialaunch, it stops working in the WhatsApp Business app and the app’s chat history doesn’t move over. If you want to keep the app, connect a different number. Setup takes about 15 minutes on your side, and Meta’s approval of the number can take 1 to 3 days.

Checklist: do you need more than one line?

If two or more of these apply, one phone is no longer enough.

  • Customers tell you your WhatsApp line was busy
  • You often see missed calls from the time you were on another call
  • More than one person could answer, but only one has the phone
  • Calls cluster at certain hours, such as lunch or the end of the day
  • You can’t tell which missed callers someone already called back

What to know before you start

Can WhatsApp Business take multiple calls at the same time?

Not in the WhatsApp Business app, where the number takes one call at a time. On Meta’s WhatsApp Business Platform, with software such as Dialaunch, one number takes many simultaneous calls.

Why does my WhatsApp say busy when someone calls?

Because you, or another device on your account, are already on a call. WhatsApp’s call waiting lets you end that call to take the new one, but it can’t hold the caller or pass them to a colleague.

Can two people answer calls on the same WhatsApp number?

With linked devices, they share one account and one line. To have several people answer separate calls on the same number, the number has to run on the WhatsApp Business Platform, where Dialaunch routes each call to whoever is free.

Can I put a WhatsApp caller on hold?

Not in the WhatsApp app. With Dialaunch, callers wait in a queue with your hold music until an agent is free, or the AI agent answers them straight away.

Do customers need to do anything different?

No. They call your WhatsApp number exactly as before, from the WhatsApp app.
